For this Hybrid Event we ask you ALL to prepare the files and yourself as listed in the tables here below. We expect that the majority of presenters will give their talk or present their poster onsite.
In case you are not able to travel to Milan we give presenters the possibility to present their talks via zoom as a virtual presenter. For posters the QR Code next to your poster will connect interested attendees direct to you via the conference system, or that they can enter questions for you to be answered. You just need to make sure that there will be a poster on the board. This table gives you an overview of the most important tasks or questions you may have, separated for onsite and virtual presentations.

All authors are required to use electronic presentations. Presentation files must be in Windows-compatible PowerPoint or PDF format. Macintosh users should ensure that their presentations will show correctly using the Windows operating system.
Please remember to create or adapt your presentations to use 16:9 aspect ratio.
Each oral talk (with the exception of plenary talks) is allocated 18 minutes total: 15 minutes of presentation time followed by 3 minutes of questions & answers. Please prepare your presentation accordingly to strictly adhere to these time limits.
The presentations must be in English. All files (videos, slides) must be uploaded onto the central file server prior to the start of your session. The exact requirements for your upload will be announced in a separate email to the author. The upload tool of the conference system only allows you to upload PDF (*.pdf), Microsoft PowerPoint files (*.ppt, *.pptx) and video files (*.mp4). The maximum file size for the presentation (slides/poster) is limited to 50 MB, and 1 GB for video presentation files. Video presentation files are optional for all presenters who will give their talk onsite, but mandatory for all oral talks who will give their talk virtually, due to the requirement that, if you are unable to present live, we can show this video. If the presentation is given live, as expected, we will not use this video. However, we would very much appreciate if you would upload your slides in a pptx or pdf format in addition, so that the registered attendees can view them if desired.
For a virtual presenter: Please be at the session on time as you would be for the in-person conference. Please have in mind that all times are given at CEST if you are connected from a different time zone. When your session starts, your webcam and microphone should already be activated. This shows the session chair that you are present in the room and able to give your presentation. Otherwise, the session chair may decide to just play the pre-recorded video presentation. The session chair or technician will bring you on stage at the appropriate time and you can start immediately with your presentation after his/her introduction. Donât forget to open your presentation on your device ahead of time and perhaps turn on a virtual laser pointer to save time. Please open your presentation in a window mode and not in a full screen mode, which will give you the opportunity to follow the Q&A tool or any other guidance in the conference tool.
For the onsite presenter: Each session room will be set with a projector, a microphone, and a laser pointer. A presentation laptop will be provided in the session room â no personal laptops will be permitted. The files must be uploaded at the given time here listed above, NO USB device can be used or even copies to the presentation laptop are allowed. If you have any problem, please contact the staff in the computer room, well in advance.
All poster sessions will be in the North Hall area of the Level 0 in the MiCo near the exhibits. The maximum poster size (NOTE: portrait orientation) 40 inches wide x 94 inches tall (1.0 m wide x 2.4 m tall). As an example, the typical A0 size poster is 0.841 m x 1.189 m. Adhesive tape/pins to attach your poster to the panel will be available in the poster room. Your panel will be labeled with the poster number and a QR code. The QR code is to get in touch with you via the conference system as it was in the last two years, especially for the virtual presenters. The poster shall be provided by the Author(s). Please review your poster dimensions before you arrive to ensure that it will fit in the defined space.
Unlike oral presentation, the poster and the respective uploaded video from you are visible from Monday, November 7, 2022 until November 30, 2022. Your video presentation file (*.mp4) and the corresponding poster (*.pdf) are mandatory for poster presentations. That gives the attendee the possibility to look at the poster pdf and your short video before the poster session starts.
Presenting authors (virtual or onsite) are expected to be present at their poster during their entire session (118 min) to talk about their work to the audience and answer questions as appropriate. Papers whose authors are not present at their poster (Onsite or Virtual) during their assigned session are not eligible for publication in the Conference Record or for participation in the Student Paper Competition. Poster Session Chairs will verify your attendance during the assigned session.
Posters have the same value as an oral presentation and must be uploaded as a PDF to the online system in addition to a 5-minute video. In this 5-minute you can either present your poster itself, or make a short slide show (4-5 slides), based on the poster shown information. During and after the conference, attendees can view your poster/video in the password protected upload area, not visible to the public without a password. This gives the opportunity for an attendee to plan and even look at the poster after the conference and contact you if needed with comments and questions.

As poster presenter, you may record yourself with the poster while talking OR you may record yourself and explain your poster with the virtual laser pointer on the screen. In both cases it would be very nice to see you presenting in person!

Recommendation of what your poster in portrait format should include:
Explanations for each graph, picture, and table
 The content aspect of a presentation is always only one side of the coin. On the other side is the ability to deliver an interesting and engaging presentation. The most successful presentation videos are well explained, graphically comprehensive presentations of your research work, highlighting the main points as well as explaining the most interesting details. The least effective presentation video is a simple reading from your slides or your manuscript.
One possibility is to have embedded audio comments in your slides. With that, you may then export the presentation as an MPEG-4 file (.mp4 / 1080p) with MS PowerPoint. Several programs offer the possibility to embed the recording of the speaker as picture-in-picture in your video. We recommend making use of this option as it allows the presentations to be received much more personally by the audience. There are enough examples with different tools in the relevant forums.
We only accept the .mp4 format – other formats are not supported. Presentation video files should not be larger than 1 GB.

A) General information
The Conference Record (CR) is the official repository for manuscripts presented at the 2022 Nuclear Science Symposium and Medical Imaging Conference and will be made available as a file for download by all registered conference attendees after the conference. The CR also will be submitted to IEEE Xplore for publication. IEEE reserves the right to exclude a submission from distribution after the conference, including exclusion from IEEE Xplore, if the submission does not meet IEEE standards for scope and/or quality.
All manuscripts submitted through the conference web site will be made available immediately at the âConference Recordâ web link. However, only those that meet the following requirements will be included in the CR: 1. Paper (oral or poster) has been presented at the conference 2. Manuscript conforms to the page layout requirements specified in the online templates available at IEEE Author Digital Tools 3. PDF file is IEEE Xplore-compatible 4. PDF file and the electronic copyright form are received no later than the December 9th deadline.
Note that presenting authors are expected to be present at their poster during their entire session. Papers whose authors are not present at their poster during their assigned session are not eligible for publication in the Conference Record.

B) Prepare your manuscript
IEEE Guidelines on Republication
Per the IEEE Publication Services and Products Board (PSPB) Operations Manual, it is common in technical publishing for material to be presented at various stages of its evolution, such as publishing early ideas in a workshop, more developed work in a conference, and fully developed contributions as journal or transactions articles. IEEE recognizes the importance of this evolutionary publication process as a significant means of scientific communication and fully supports this publishing paradigm, but IEEE requires that this evolutionary process be fully referenced. Accordingly, the publication in an IEEE periodical of original technical material contained in a conference article or articles is permitted, provided that the articles published in the periodical contain substantial additional technical material with respect to the conference article or articles of which they represent an evolution. Under these guidelines, NPSS republication policy is that any manuscript submitted to a journal must contain at least 50% more substantive content than that which appears in its [parent] conference record paper.
In addition, authors should be aware that IEEE policy requires that all submitted manuscripts be screened for plagiarized material prior to being uploaded to Xplore. If plagiarism is found, the manuscript will be rejected automatically. Also, each manuscript will be checked to ensure that there is not excessive reuse of an authorâs previously published material; the manuscript should contain significant new content beyond anything previously published. If it is determined that there is insufficient new content, the manuscript will be rejected. Therefore, each author has the following two options when submitting a paper to the Conference Record: 1. Submit only an extended abstract (minimum 2 pages) to the Conference Record and then subsequently submit a full-length manuscript to a journal. This extended abstract can be an improved version of the summary submitted during the review process. 2. Or submit a regular, full-length manuscript to either the Conference Record (maximum 8 pages) or to a journal, but not to both. Add the Copyright notice to your manuscript.
Please add the appropriate copyright notice as a footer centered at the bottom of the first page of your source document (Times New Roman, 9):
Produce an IEEE Xplore-compatible PDF file using IEEE PDF eXpress webservice
All manuscripts submitted to the IEEE must be in IEEE Xplore-compatible PDF format. To assist authors in meeting this requirement IEEE has established a web-based service called IEEE PDF eXpress. This year authors MUST use this service. The Conference Record submission site will only accept PDFs that have been sent to the authors from the IEEE PDF eXpress site with the message: âFile has passed PDF Checkâ. It is also important that you DO NOT change the name of the file that is sent to you. The IEEE PDF eXpress service will be available for the NSS-MIC authors between 1st October and 9th December 2022.
To use this service, go to https://ieee-pdf-express.org/ and enter 44845X as the Conference ID. New users will need to set up an account by clicking on the link âNew Users â Click hereâ. An online confirmation will be displayed and an email confirmation will be sent verifying your account setup. Previous users should enter the same Email Address and Password used for previous conferences. Please verify that your contact information is still valid.
Once you have logged in, follow the instructions to âCreate New Titleâ. Then you can upload your word processor or PDF file to the web site to have it checked for IEEE Xplore compatibility. Shortly after your upload you will receive an email from IEEE PDF eXpress Site Services containing a compatibility report. If the file you submit to IEEE PDF eXpress does not pass PDF Check, the body of the email will contain detailed information about what needs to be changed. Please modify the file accordingly and then resubmit to IEEE PDF eXpress. Repeat this process of modification then resubmission to IEEE PDF eXpress until the subject line of the email from IEEE PDF eXpress Site Services says âIEEE PDF eXpress: File has passed PDF Checkâ. The new PDF which is attached to that message is the only file that the Conference Record submission site will accept. It is very important that you do not modify that PDF in any way or change its filename. Otherwise your file will be rejected by the CR submission site
If you encounter problems in generating an IEEE PDF eXpress-compatible PDF, extensive help is available at https://ieee-pdf-express.org/External/UsingIEEEPDFeXpress. In addition, answers to many common questions can be found by visiting https://supportcenter.ieee.org/app/home and typing appropriate search terms into the âFind Answersâ blank, e.g. PDF create. Very Important: IEEE PDF eXpress is NOT the final destination for your manuscript. You must submit your manuscript to the Conference Editor through the conference website – Abstract Management System .
Once you have received your IEEE Xplore-compatible PDF file please save it on your computer without changing the filename.
It is very important that you do not modify the approved PDF file that you receive from IEEE PDF eXpress. Otherwise the file will be rejected during the upload of your conference record.
C) Submit your IEEE Xplore-compatible PDF file
Login at the Abstract Management System
Go to https://www.eventclass.org/contxt_ieee2022 and log in using the same credentials that you used to submit your abstract. In the menu on the left side of the screen, under the Author section, click on âMy Submissionsâ. For each of your accepted submissions the UPLOAD button at the bottom line is active. Please press it.
Sign the IEEE electronic Copyright Form (eCF)
Before you will be able to upload your submission you must fill out the IEEE electronic Copyright Form (eCF). Click on the button âStart IEEE electronic copyright form (eCF) processâ. Follow the instructions and the step by step guided process. After you have finished the eCF process successfully, you will be automatically routed back to manuscript upload page. Each contribution requires its own eCF, which has to be completed just once.
If you are not the person who is authorized to sign the eCF form you will be asked during the eCF process to identify the person who IS eligible. This person will be informed automatically by e-mail and invited to complete the eCF process. After the authorized person has successfully completed the eCF process, the upload of the manuscript will be enabled.
Successfully passing the eCF process is mandatory before you are eligible to upload your manuscript.
Upload your submission to the Conference Record
You should be in the upload section of the Abstract Management system. Your file has been verified by IEEE PDF eXpress and you signed the IEEE electronic copyright form successfully. Now please press the âupload of Conference Recordâ button, select the file on your computer and start the upload. Your PDF file will be checked to ensure that it is an IEEE Xplore-compatible file which has been verified by the IEEE PDF eXpress webservice. Files that do not meet this requirement will be rejected. In that case please refer back to item B) above (Prepare your manuscript).
Once the upload has succeeded please double-check the uploaded file to ensure that you have submitted the correct one.
The deadline for submissions to the Conference Record is 09 December 2022.
